Free Trial or Product Demo? How B2B SaaS Teams Choose
A free trial lets the buyer use the product on their own; a demo shows it to them, usually with someone from your team. Neither is better in general. The right first step depends on how quickly a buyer can reach value alone, how many people have to agree to buy, and how much the product costs. Many B2B SaaS companies offer both and point each buyer to one or the other.

Offer a free trial when a single user can set the product up and see value in one session, without your data, integrations or help. Lead with a demo when value depends on setup, data or several stakeholders, or when the price needs a conversation. If buyers should see the product before talking to anyone but cannot try it alone, give them a demo they can start themselves.
What does a free trial give the buyer?
Control and proof. The buyer explores at their own pace, tests the product on their own work and decides without a sales call. That matches how many buyers want to buy: in Gartner's survey of 646 B2B buyers in 2025, 67% said they prefer a rep-free buying experience. (Gartner, March 2026)

What does a demo give the buyer?
Context. A good demo shows the parts of the product that match the buyer's problem, answers questions as they come up, and covers what a trial cannot: pricing, security, rollout and how teams like theirs use it. A demo run by a person also lets you qualify the buyer and plan the deal.

When does a free trial work better?
The product works for one person on day one. A note-taking app, a design tool, a developer utility.
Setup takes minutes, not a project. No data migration, no integrations, no admin configuring roles first.
The price fits a company card. Buyers who can pay without procurement rarely want a sales call first.
Value shows in the first session. If a buyer would need weeks of use to see the point, the trial ends before the value arrives.
When is a demo the better first step?
Value depends on data or setup. Analytics, CRM, security and HR products look empty until they are connected to something.
Several people have to agree. A trial reaches one user; a demo can be shared with the buying group.
The deal needs a conversation. Custom pricing, a security review, contract terms.
The product is big enough to get lost in. A guided look at the right part beats a blank workspace.
Can you offer both?
Yes, and many companies do. Common patterns are a free plan or trial for small teams with a demo for larger ones, a trial that includes an optional onboarding call, and a sales-assisted trial where reps contact the accounts whose usage shows buying intent. How do you tell which is working?
Measure each path to revenue, not to sign-up. For trials, track activation (the share of trial users who reach the first moment of value) and trial-to-paid conversion. For demos, track the time from request to demo, the no-show rate and the demo-to-close rate. Then compare the cost per closed deal across the two, including the sales time each demo takes.
